Clinic Cancellation, Conduct & Treatment Policy

At Belgrave Laser Clinic we are committed to providing a respectful and supportive environment for all patients and staff.

We kindly ask that all communication remains courteous and professional.

Inappropriate, aggressive, or disrespectful behaviour toward our staff will not be tolerated and may result in immediate appointment cancellation.

If inappropriate behaviour occurs, Belgrave Laser Clinic reserves the right to cancel or refuse service, either temporarily or permanently, at the discretion of management.

Treatment Policy

Once a treatment has been started, it cannot be cancelled, refunded, or changed to any other treatment.

All patients are advised to ensure they are fully committed to their chosen treatment before beginning.

​

Beauty, Aesthetic & Non-Surgical Neck Lift Treatments

All beauty treatments, aesthetic treatments and non-surgical neck lift treatments, including any prepaid treatments, packages, courses or sessions, must be used within 4 months (16 weeks) of purchase (date of form).

​

Any treatments or sessions not used within this 4-month period will automatically expire.

​

Please note that no refunds, credits, transfers, or extensions will be provided for unused or expired beauty, aesthetic or non-surgical neck lift treatments, subject to applicable consumer rights.

​

It is the client's responsibility to ensure that all treatments are booked and completed within the applicable 4-month validity period.

Rescheduling an appointment does not restart or extend the original 4-month validity period. The treatment must still be completed within the original validity period.

Laser Hair Removal Policy

Single Laser Hair Removal Treatments
All single Laser Hair Removal treatments must be used within 30 days of the purchase date. Any treatment or session not used within this 30-day period will automatically expire, and any deposit or payment made may be forfeited.

Laser Hair Removal Packages
All Laser Hair Removal packages must be used within 12 months of the purchase date. Any treatments or sessions remaining unused after this 12-month period will automatically expire.

Refund Policy
All clients are required to read and understand our policies before commencing treatment. By signing the consultation and treatment forms, you confirm that you have read, understood, and agreed to our terms and conditions and treatment policies.

Once the consultation and treatment forms have been signed and treatment has commenced, payments and deposits are non-refundable. No refunds will be provided for treatments or packages once treatment has commenced, subject to applicable consumer rights.

By signing the required forms, you acknowledge that you have been given the opportunity to read the relevant policies and ask any questions before treatment begins.

Medical Cancellation & Refund Policy

If a client cancels or postpones their appointment due to a medical condition, illness, injury, pregnancy, or any other health-related reason, all payments made for treatments, packages, or services are strictly non-refundable.

​

Cancellations made for medical reasons will not qualify for a refund, partial refund, or credit, regardless of whether a medical certificate or doctor’s note is provided.

​

Clients are responsible for ensuring they are medically fit to undergo treatment at the time of booking. By proceeding with a booking, the client acknowledges and accepts this policy and understands that medical circumstances do not constitute grounds for a refund.

24-Hour Cancellation Policy for All Appointments

Your appointments are very important to us at Belgrave Laser Clinic. Each appointment is reserved especially for you. While we understand that schedule adjustments may be necessary, we respectfully request at least 24 hours’ notice for cancellations or rescheduling.

When you forget or cancel your appointment without sufficient notice, we miss the opportunity to fill that slot, and clients on our waiting list miss out on receiving services. To help prevent this, we will confirm your appointment 48 to 24 hours in advance, knowing it can be easy to forget appointments booked months ahead.

Cancellation Fees

Since services are personally reserved for you, a cancellation fee will apply if you fail to provide at least 24 hours’ notice.

The following fees will apply for late cancellations or no-shows:

• Full loss of deposit paid

• OR loss of one treatment from a prepaid course

• OR a £25 cancellation fee

 

This policy allows us to notify standby clients of availability and helps keep our team members' schedules full. Our goal is to maintain an excellent level of service, and your understanding and support of our policies is greatly appreciated.

We do understand that emergencies happen. Therefore, each client is allowed one (1) grace appointment per year for last-minute cancellations, rescheduling, 

no-shows will be charged.

Lateness Policy

Please note:

If you are more than 10 minutes late for your appointment, we may need to reschedule if the service cannot be completed in the remaining time.

If we do not hear from you 5 minutes into your scheduled time, it will be considered a no-show, and a fee will apply.

Late Arrival Will Be Charged As Follows:

• Treatments under 30 minutes: £25 and rebook is needed 

• Treatments between 30 minutes and 1 hour: £25 

• Treatments over 1 hour: £25

• No-show charges: £25

We will make every effort to reschedule you as soon as possible, but it cannot be guaranteed.

Deposits

A £25 deposit is required for all clients and all treatments.

Please note: We do not offer refunds on any treatments, packages, or deposits paid, subject to applicable consumer rights.

Clinic Conduct Policy

At Belgrave Laser Clinic, we are dedicated to providing a respectful, supportive, and professional environment for all our patients and staff.

We maintain a strict zero-tolerance policy for rude, aggressive, abusive, or inappropriate behaviour. If a client acts in a manner that is deemed disrespectful or disruptive, we reserve the right to refuse or terminate treatment immediately.

We kindly ask that all communication with our team remains courteous and professional at all times.

Any inappropriate, aggressive, or disrespectful behaviour toward our staff will not be tolerated and may result in the immediate cancellation of your appointment.

Belgrave Laser Clinic reserves the right to cancel or refuse service, either temporarily or permanently, at the discretion of management should such behaviour occur.

Treatment Policy

Tattoos and Sudden Movement During Treatment

Laser hair removal will not be performed directly over tattooed skin, as the laser can interact with tattoo pigments and cause burns, scarring, or alteration of the tattoo. Areas with tattoos will be excluded from treatment.

Clients must remain still throughout the procedure to ensure safety.

If a client moves suddenly and unexpectedly during treatment, and the laser unintentionally contacts tattooed skin, the clinic and its staff will not be held liable for any resulting damage, including but not limited to changes in the appearance of the tattoo, blistering, scarring, or discomfort.

By proceeding with treatment, the client accepts full responsibility for maintaining stillness and understands that sudden movement may result in unintentional contact with tattoos.

Refunds Policy

Thank you for choosing Belgrave Laser Clinic for your treatment.

Please be aware that we do not offer refunds for any treatments, products, pre-paid packages, or gift cards purchased in-clinic. This also applies to the purchase and booking of treatments made online, subject to applicable consumer rights.

If you experience an adverse reaction to a treatment or product, we encourage you to speak directly with the Clinic Manager at the location where you're booking or purchase was made. They will be happy to advise you on alternative treatments or products or use their discretion to help resolve the issue appropriately.

Important: The treatment validity periods are:

• Beauty Treatments – 4 months

• Aesthetic Treatments – 4 months

• Non-Surgical Neck Lift Treatments – 4 months

• Laser Hair Removal Treatments & Packages – 12 months

All validity periods run from the date of purchase (date of form) unless otherwise agreed in writing by Belgrave Laser Clinic.

This policy is subject to applicable UK consumer protection legislation and does not affect any statutory rights that cannot legally be excluded.
